Where these go wrong

Confidentiality, discovered during UAT.

HR cases are not IT tickets. A grievance, a workplace investigation, or a medical accommodation must be invisible to people who can see every other record, including platform administrators. Teams routinely build HRSD with standard ITIL-shaped roles and find out during user acceptance testing that an HR business partner can read a case about their own manager. Retrofitting that means revisiting the role model, the domain configuration, and every report already built on top.

Tell us where you are
Decisions you will face
Which case types are restricted, and from whom — including admins?
Decided during design, in writing, with HR in the room. This is the single most expensive thing to change later, and platform administrators are the part people forget.
How much employee data do you replicate from the HRIS?
Enough for routing and eligibility, and no more. Every replicated field is a synchronisation burden and a data-protection question. Live lookup is often better than a nightly copy.
Which lifecycle events are in the first phase?
Onboarding is the obvious candidate and also the most cross-functional — it touches IT, facilities, payroll, and security. A narrower event with a single owner is often a better first delivery.
How we run it

FAQ

HR Service Delivery, answered.

A unified employee portal, HR case management, and automated lifecycle journeys — onboarding, transfers, offboarding. The part that catches teams out is confidentiality. HR cases are not IT tickets: a grievance or a medical accommodation must be invisible to people who can see every other record, including platform administrators. That role model has to be designed up front, because retrofitting it means revisiting every report built on top.
